Groundbreaking Redaction Plugin from Foxit Helps Protect Sensitive Information

One of the many benefits that come from using PDF software to create documents is the ability to redact sensitive or confidential information from the content. To properly redact text, you must convert the file to a PDF or an image.

Until recently, Word processing software such as Microsoft Office was unable to create a document with certain information redacted from the text and publish that information to audiences in both a secure and need to know basis. But all that is about to change.

Foxit has created a solution called the Foxit® Redaction Plugin for Microsoft® Word® that will allow you to create a redacted PDF document from Microsoft Word 2013. One can also view the un-redacted document using Microsoft Rights Management Services (RMS), with the right permission, of course.  Here’s why that’s important.

Why use RMS?

Using PDF software, you have the ability to redact text so that anyone who reads the document will not be able to see what was once there. The Foxit PDF plugin for Microsoft Word takes this a step further, allowing you to create two different views of the same PDF document.

The first view is of the redacted PDF document, which anyone can read as long as they open the file in any PDF Reader.  This file will block out any redacted text.

Alternately, those with an RMS-enabled PDF reader and the proper authorization have the ability to read the document in an un-redacted format. That means that all of the content that you blocked out is now visible to the correct users.

This will protect your information at the file level, which means that your critical documents are properly protected on any device the user accesses them with. That’s true whether the document stays within your company or goes externally.

Using rights management, you can share one file with different audiences instead of having to create two files, one with redacted content and one without. This reduces your concerns about someone leaking or sharing an un-redacted version.

How does it work?

Once installed, a tab named Foxit PDF appears in the Microsoft Word ribbon. Under this tab, clicking the Mark for Redaction button will redact any selected text in your Word document.

When all of the sensitive information is highlighted, click the Create Redacted button and you’re presented with an RMS restriction template selection to set the proper permissions for viewing the finished file.

You can receive these publishing and security benefits without disruption to the organizations’ current PDF ecosystem or user environment, so deployment and use is very quick and easy.

What platforms does the Foxit Redaction Plugin support?

The Foxit Redaction Plugin is currently available for use with Microsoft Word 2013. Upcoming releases of the plug-in will support previous and future versions of Word, PowerPoint, and Excel.  Additional server based products are coming to process larger repositories of existing documents.
